Job Description

To provide a professional, welcoming, and efficient front-of-house service for students, staff, parents, visitors, and external professionals. The postholder will support the smooth running of the school office through high-quality administrative support, excellent customer service, and adherence to safeguarding and operational processes. 

Key Responsibilities

Front Desk & Reception Duties

Provide a welcoming and professional reception for all visitors, ensuring they sign in according to safeguarding procedures.
· Act as the first point of contact for all enquiries, offering a warm, helpful, and professional response.
· Manage incoming calls, emails, and enquiries from parents, agencies, and professionals, ensuring timely redirection or resolution.
· Monitor visitor access, issue passes, and maintain a safe and secure reception environment.

Administrative Support

· Provide administrative assistance to staff, including drafting letters and preparing documents.
· Maintain organised office systems, trackers, records, and digital documentation.
· Assist with school communications, including distribution of notices, letters, and digital updates to parents and students.
· Maintain accurate records such as visitor logs
· Support general office tasks.

Operational & School Support

· Manage incoming and outgoing mail and deliveries.
· Support planning and administration for school events such as parents’ evenings, open days, and assemblies.
· Provide flexible cover for colleagues during absences and support office, pastoral and safeguarding teams as required.
· Respond appropriately to urgent matters or on-site emergencies following school procedures.

Safeguarding & Student Support Responsibilities

· Uphold the highest safeguarding standards for students, staff, and visitors.
· Report concerns immediately following safeguarding procedures.
· Ensure compliance with confidentiality, GDPR regulations, and secure information handling.

Person Specification
Qualifications & Experience


Essential

· GCSEs (or equivalent) in English and Maths.
· Minimum two years’ experience in an office, reception, or administrative role.
· Strong IT skills including Microsoft Word, Excel, PowerPoint, and Outlook.
· Experience providing high-quality customer service.
· Ability to manage confidential and sensitive information with discretion.

Desirable
Experience in a school or educational environment.
· Experience with MIS systems such as SIMS.
· First Aid qualification (or willingness to train).

· Excellent communication and interpersonal skills.
· Strong organisational skills and ability to prioritise a varied workload.
· Confident telephone manner and professional written communication.
· Ability to remain calm, patient, and professional under pressure.
· High attention to detail and accuracy in administrative work.
